Here you’ll find practical information for those who have booked an event space during the Bike week. The information will help you plan ahead and gives an overview of what applies to construction, deliveries, event spaces, and schedules on site. Please make sure to review the booking terms once more if you haven’t already.
Terms and conditions for booking an event space
Here are the terms and conditions for our event spaces. Please read them carefully in connection with your booking, as it is binding. Once you have submitted your booking, we will review it and get back to you with any questions if needed. After evaluating the overall concept and approving your booking, you will receive a booking confirmation.
The number of spaces is limited, so applications are handled on an ongoing, first-come basis. Each application is assessed based on factors such as the overall composition of the event, the overall experience, the purpose of your participation, and sponsor exclusivity.
It is also important that you provide an email address that can receive ongoing information from us. For example, we send tips ahead of the expo as well as a form for booking exhibition materials such as furniture, equipment, and storage space. If you need to change your email address after booking, please contact us at massa@vatternrundan.se and we will update it in the system.
This applies to your event space, June 8–10
You are allowed to use your event space for activities such as staff, supplier, and customer events during the days between the race weekends. Please inform max.lundgren@vatternrundan.se in advance of the dates and times you plan to use the space, so we can notify security and make the necessary arrangements.

On Cykla.se, cycling lives on all year round. Here you’ll find relevant articles, inspiring features, informative videos, and – not least – the annual live broadcasts from the Bike week. The goal is simple and clear: to inspire cycling and a healthy lifestyle.
The site has half a million page views each year and is visited by 250,000 people – all sharing the same interests: training, nutrition, health, and above all, cycling.
Accommodation during the Bike week
In addition to traditional lodging, local residents in Motala open up their homes and rent out villas, houses, apartments, cottages, or rooms. You can choose to stay centrally, close to the start and finish, or in the peaceful countryside. You can either book accommodation online or contact Vätternrundan’s accommodation partner, Svecia Travels.
Construction and logistics
Stand construction for exhibitors must be completed well in advance of the event start. If you are present on-site during the initial construction period (May 26–June 4), personal protective equipment is required. This includes at least one high-visibility garment, safety shoes with puncture protection and toe caps, hearing protection, and a helmet when there is a risk of falling objects.
Construction must be completed no later than Friday, June 5 at 12:00. By this time, all vehicles must have left the event area and be outside the restricted zones.
Deliveries can be made between 08:00–16:00 during May 29–June 4 and June 8–10. Vätternrundan is not responsible for unlabeled deliveries or deliveries that have not been announced in advance.

As an exhibitor, you are responsible for receiving and unloading your deliveries. Delivery to and work within the event space must be arranged in agreement with the on-site manager. Please note that vehicle access is not permitted in Stadsparken, which applies if your event space is located there.
Dismantling
Dismantling may only begin once the area has closed according to official opening hours. Please note that opening hours may vary across different parts of the event area. Vehicle access cannot be guaranteed until all participants have finished and the barriers have been removed. In the meantime, you are welcome to enjoy the event and the local offerings in Motala.

Food and drink
There is a food area at the event site during the Bike week. Coffee and fruit are also available in the work lounge inside the Showroom at Nordic Bike Expo.

Waste management
A waste compactor is located near the expo area. Emptying takes place early in the morning, so all waste should be disposed of in the evening after closing. Cleaning of your event space is your responsibility unless otherwise ordered.
Please note that we sort waste into cardboard, plastic, wood, glass, metal, and general waste. Untidy event spaces and any waste left behind will be charged.
Security
Vätternrundan assumes no legal responsibility and provides no insurance for exhibitors’ materials. Some security will be in place, with patrol guards monitoring the event area during the night.
Please note: Each exhibitor is responsible for opening and closing their tent in accordance with the event’s official opening hours (see the Opening Hours section above).
